PRIVACY POLICY

Privacy Policy of Bexhill Runners & Triathletes (“BRT”)

BRT take the privacy of your personal information very seriously and, when dealing with all data received from visitors to the site, will only use it in accordance with the current data protection law in the UK and this privacy policy. This privacy policy applies to personal information about individuals. It does not apply to information we hold about companies and other organisations.

1) How your information is collected

  • we collect information directly entered by you. For example, if you use the contact form on our website, enter our events, purchase Club Clothing or email/write to us directly,
  • we collect information from your use of our website passively. We use tracking tools like browser cookies to collect information about your use of the service,
  • we collect information about users over time when you use this website,
  • occasionally from other third parties who may lawfully pass to us information about you, and we combine information. For example, we may combine information that we have collected offline with information we collect online. Or we may combine information we get from a third party, such as PayPal who collect our online payments, with information we already have.

2) How your Personal Data is Used (All site users)

You do not need to supply personal data to view the website. However, please be aware that cookies are used to let us monitor how you are using the site, as these will help us make improvements for the future. These will not be linked to any information that allows you to be personally identified. Your IP address may also be used to examine usage trends, but, again, this will not allow for any identification. You can change the settings within your own browser if you wish to restrict the collection of such information. The ‘Cookie’ section (#11 below) gives advice on how to do this but please be aware that changing the settings may prevent you from taking full advantage of the website.

If you are a Member we request that you fill in our Membership & Health Questionnaire. We use MailChimp to collect and manage the information, if you enter your information using the form, it will be stored in our account with them, on their servers. We will send occasional newsletters and updates if you have asked to receive them but you can opt out at any time by clicking the ‘unsubscribe’ link at the bottom of each email or by contacting us via the email or postal address in the ‘Contact’ section (#7) of this Privacy Policy.

The ‘Contact us’ form accessed via a link under the ‘About us’ section on the top menu on our website is supplied by Weebly and if you use this form to request information from us, the details given will be held on their servers. Personal data supplied in this way will only be used to answer the specific query initiated by you.

Personal Data Use (Additional for Customers/Members)

If you decide to Join, renew membership, enter a race, sign up to a course or purchase club kit, you will need to supply personal data to enable us to manage your this, and this may be usedfor a variety of purposes to facilitate this:

  • as an identifier for the entry/order/renewal you have purchased
  • to update you on the progress of your entry/order
  • to request further information about your entry/order
  • to respond to queries from you, and to help us to identify you when you get in touch
  • to notify you about changes affecting your entry/order
  • for accounts and general administration purposes
  • to carry out analysis and customer profiling

We do not collect financial information on our website. We use PayPal to process the payment of entry fees. When you complete the entry form, you will be diverted to PayPal’s site to make your payment and so will be subject to PayPal’s Privacy Policy for this financial transaction. Following payment, an invoice will be sent to your email address. A copy of this invoice is held by us for the duration required by HMRC for accounts purposes.

3) Hyperlinks

The BRT site does have links to other organisations. As soon as you leave the BRT site, you are recommended to check the Privacy Policy of the organisation before supplying any personal data. BRT cannot be responsible for the protection of any data supplied to sites other than its own.

4) Sharing your information

We may share information about you as reasonably necessary for the effective running of an event, course, with any of our employees, freelance personnel, sponsors and supporters, suppliers, agents, officers and sub-contractors.

We may, additionally, share your information:

  • With law enforcement & fraud prevention agencies so that they can tackle fraud. We will share information if we consider that we have to in order to comply with the law or to protect ourselves. We will share information to respond to a court order or subpoena. We may share information if a government agency or investigatory body requests it or if we are investigating potential fraud,
  • To the extent required by Law.

Organisations, who provide services to enable us to operate our business effectively, may be outside of the European Economic Area. If we transfer information outside of the EEA, we will make sure that the recipients agree to protect your information to the standard required within the UK.

5) Our legal basis for processing your Data

We will only process your information if we have a legal basis for doing so under current data protection legislation in the UK, including:
  • to pursue our legitimate interests (see below)
  • to comply with our legal obligations
In general, we only rely on consent as a legal basis for processing personal data in relation to sending direct marketing communications by email. You have the right to withdraw consent at any time.
Legitimate interests:
Where our processing is based on legitimate interest grounds, for example:
  • Collecting personal information to provide you with a smooth and efficient experience when using our website and joining our club
  • To manage the events and courses effectively
  • To ensure BRT hold current ICE (In Case of Emergency) information and details of any existing medical conditions your safety during Club sessions
  • For our own marketing and research

6) Your rights

We want you to be comfortable with the way that we use your personal data and know what to do if you have any questions. You have the right to:

  • Know what data we hold about you and how we use it
  • Stop receiving direct marketing messages by withdrawing consent or opting out
  • Request access to or a copy of personal data that we hold about you
  • Rectification of your personal data if it is incomplete or inaccurate
  • Request that we delete your data


If you give us information on behalf of someone else, you confirm to us that you have their permission to do so and that they are aware of the contents of this privacy policy and do not have any objection to our processing their information in accordance with this policy.
